Controller / Office Manager

Masonry Contractor

Position Summary

The Controller / Office Manager is responsible for overseeing the company’s accounting operations and administrative functions. This role manages day-to-day accounting activities, supports accurate financial reporting, and assists the Controller with month-end and year-end close processes. The position also supports project-level accounting, billing, and contract administration while maintaining strong internal controls and efficient office operations.

Key ResponsibilitiesAccounting & Financial Management

  • Oversee daily accounting functions, including accounts payable, accounts receivable, and general ledger activity
  • Maintain accuracy and integrity of the accounting system and financial records
  • Support the Controller with month-end and year-end close procedures, including:
  • Work-in-progress (WIP) schedule support
  • Prepare internal job cost reports for ownership and management
  • Monitor cash flow and provide visibility into receivables, payables, and project performance

Construction Accounting & Billing

  • Prepare and review monthly AIA pay applications (G702/G703)
  • Oversee billing processes, including progress billing and change order billing
  • Track and manage Potential Change Orders (PCOs) through final approval and billing
  • Ensure accurate job costing, including labor, materials, subcontractors, and equipment
  • Monitor project budgets and identify cost overruns or variances

Accounts Receivable & Payable Oversight

  • Oversee accounts receivable, including payment application, aging review, and collections coordination
  • Manage accounts payable processes, including:
  • Vendor invoice processing
  • Monthly check runs
  • Vendor statement reconciliations
  • Lien waiver and release compliance
  • Ensure timely and accurate processing of all transactions

Contract Administration & Compliance

  • Maintain contract files, billing documentation, and compliance records
  • Send, collect, and track subcontractor and vendor lien waivers
  • Ensure compliance with contract requirements, insurance, and documentation standards
  • Manage CCIP enrollment and reporting requirements

Fixed Asset & Equipment Management

  • Maintain the fixed asset register for vehicles, equipment, and major tools
  • Track asset purchases, disposals, and transfers
  • Coordinate and maintain depreciation schedules with the Controller
  • Ensure proper documentation and internal tracking of company assets

Office Management & Operations

  • Oversee administrative functions and ensure efficient office operations
  • Maintain organized records and documentation systems
  • Support ownership with operational and administrative needs
  • Implement and maintain internal controls and process improvements

Reporting & Audit Support

  • Prepare reports as requested by ownership or management
  • Provide documentation and support for external audits, insurance reviews, and CPA requests
  • Ensure readiness for financial and compliance audits

QualificationsRequired

  • 5–10 years of accounting experience, preferably in construction or specialty trades (masonry preferred)
  • Must have a strong understanding of job costing, construction billing, and accounting operations
  • Experience supporting month-end close and general ledger accounting
  • Proficiency with construction accounting software (e.g., Viewpoint Spectrum, Foundation, Sage)
  • Strong Excel and organizational skills

Preferred

  • Experience in a small to mid-sized construction company
  • Familiarity with lien laws and construction contract requirements
  • Experience with AIA billing and WIP reporting

Work Schedule

  • Monday – Thursday: 7:00 AM – 4:00 PM
  • Friday: 7:00 AM – 11:00 AM
  • Full-time, office-based position

Compensation & Benefits

  • Salary range: $75,000 – $95,000 (based on experience)
  • Company-paid health insurance (employee-only) after 90-day probationary period
  • 8 paid holidays (eligible after 90 days)
  • 5 paid personal days (eligible after 90 days)
  • Vacation:
  • 5 days after 1 year
  • 10 days after 2 years
  • 15 days after 5 years

Job Type: Full-time

Pay: $75,000.00 - $95,000.00 per year
