If you take pride in ensuring accounts are accurate, costs are allocated correctly, and service disruptions are prevented, this role may be for you.</p><hr><h2>About Arboreal Management</h2><p>Arboreal Management is a Seattle-based property management company operating thousands of apartment homes across the Pacific Northwest and growing approximately<span> </span><strong>25% per year</strong>.</p><p>We focus on building<span> </span><strong>efficient, technology-enabled operations</strong><span> </span>that allow us to deliver high-quality housing at scale.</p><p>Our company is built on three pillars: (1) The best local property managers in the business (2) A strong and empowered off-shore back office and (3) Cutting edge AI-enabled technology.</p><p>Together these allow us to manage a rapidly expanding portfolio while maintaining strong service for residents and property owners.</p><hr><h2>Role Overview</h2><p>The AP Specialist is a remote role responsible for managing utility accounts, monitoring consumption and costs, and ensuring accurate billing and vendor performance across our portfolio.</p><p>Working closely with property managers, accounting, and our offshore support team, this role will focus on:</p><ul><li><p>Utility account setup and maintenance</p></li><li><p>Billing reconciliation and dispute resolution</p></li><li><p>Vendor coordination and performance tracking</p></li><li><p>Data reporting and cost allocation processes</p></li></ul><p>This position is ideal for a meticulous operator who enjoys creating repeatable processes and improving accuracy in back-office workflows.</p><hr><h2>Key Responsibilities</h2><h3>Account Management</h3><ul><li><p>Establish and maintain utility accounts with providers (water, gas, electric, sewer, trash) and ensure correct account ownership and billing cycles</p></li><li><p>Coordinate account transfers for move-ins/move-outs to minimize service gaps and avoid unnecessary charges</p></li><li><p>Maintain up-to-date account documentation and contracts</p></li></ul><hr><h3>Billing & Reconciliation</h3><ul><li><p>Review and reconcile monthly utility bills against property consumption and billing systems</p></li><li><p>Investigate and resolve billing discrepancies or unusual usage patterns with providers and property teams</p></li><li><p>Process vendor invoices and prepare accurate chargebacks or tenant billing as appropriate</p></li></ul><hr><h3>Vendor & Service Coordination</h3><ul><li><p>Serve as primary contact for utility vendors and third-party service providers</p></li><li><p>Track vendor performance, service reliability, and escalate issues when service levels fall short</p></li><li><p>Coordinate with local property staff and the offshore support team to schedule services and confirm completion</p></li></ul><hr><h3>Reporting & Process Improvement</h3><ul><li><p>Maintain operational documentation and Standard Operating Procedures for utility processes</p></li><li><p>Develop and maintain dashboards and routine reports on utility spend, consumption trends, and account status</p></li><li><p>Identify opportunities to reduce costs, improve accuracy of allocations, and automate manual tasks</p></li></ul><hr><h3>Cross-Functional Collaboration</h3><ul><li><p>Work closely with property managers, accounting, and compliance teams to ensure smooth utility workflows</p></li><li><p>Coordinate with technology teams to ensure utility data integrates correctly with company systems</p></li><li><p>Support training and onboarding for property staff and offshore partners on utility procedures</p></li></ul><hr><h2>Qualifications</h2><ul><li><p><strong>3+ years of experience</strong><span> </span>in utility management, billing, vendor coordination, or related back-office operations</p></li><li><p>Experience working with utility providers, billing systems, or property management software</p></li><li><p>Strong attention to detail and comfort working with numbers, spreadsheets, and reconciliation tasks</p></li><li><p>Excellent written and verbal communication skills</p></li><li><p>Ability to work independently in a remote environment and coordinate across distributed teams</p></li></ul><p>The ideal candidate is organized, process-minded, and enjoys solving billing and service problems before they impact residents or property financials.</p><hr><h3>Preferred (but not required)</h3><ul><li><p>Experience with property management utility billing platforms or ERP systems</p></li><li><p>Background in utilities, energy management, or facilities coordination</p></li><li><p>Experience working with offshore or distributed support teams</p></li></ul><hr><h2>Compensation</h2><ul><li><p>Opportunity to participate in company benefit programs</p></li><li><p>Fully remote work with occasional regional travel as needed</p></li></ul><hr><h2>Why Join Arboreal</h2><p>Arboreal is building a modern operating platform for housing.
