This is an excellent opportunity for those who wish to contribute to the delivery of the equip Programme, one of the most significant transformation initiatives across Health & Social Care. The role offers the chance to gain first-hand experience supporting the programme in a fast paced environment. We are keen to hear from organised, proactive people who are comfortable managing competing priorities and working closely with senior leaders in the People and OD and Finance Directorates. Due to the critical stage of the programme, successful applicants will be expected to be released as soon as possible upon appointment. A waiting list may be created for similar posts that may arise while the waiting list is live, this may include temporary or part-time posts. This will be managed in line with the updated HSC waiting list principles effective from 1 April 2026. Where a part-time waiting list is required, one part-time waiting list will be created- regardless of any specific hours advertised, this waiting list will cover all future vacancies where part-time posts arise. The equip Programme
The equip Programme is a large and complex regional transformation programme. It has been established on behalf of HSC to procure and implement the replacement of the current Finance, Procurement, Logistics, Human Resources, Pay and Travel Management systems.
With over 86,000 employees benefiting from the implementation of the new system, working across 16 different HSC organisations, this is currently one of the largest and most complex Enterprise Resource Planning (ERP) implementations in the UK across the public sector.
JOB SUMMARY
The post holder will provide structured administrative and programme coordination support to the Trust Equip Programme.
Working closely with the Programme HR lead and Finance Lead, they will support the organisation and coordination of programme governance activity, ensuring that actions, risks, reporting and documentation are accurately maintained and progressed appropriately.
The role will support the coordination of programme activity across HR, Finance and associated workstreams. They will help organise programme governance meetings, maintaining programme documentation and supporting the collation of information for programme reporting. They will communicate with managers and stakeholders as required to obtain updates and ensure programme actions are followed up in a timely manner. The role requires the ability to priortise workload, communicate effectively with a range of staff and support Programme Leads in ensuring actions and programme activities progress as planned.
The successful candidate will work with a degree of independence while following agreed processes and guidance from Programme Leads, supporting the effective coordination and administration of programme governance and reporting activity as the Trust progresses towards implementation and go-live.
KEY DUTIES / RESPONSIBILITIES
Programme Governance & Meeting Coordination
Provide secretariat function for Programme Board, Delivery & Readiness Group and Stakeholder meetings. This will include coordinating meeting schedules, preparing agendas, circulating papers and producing minute notes.
Maintain and update action logs arising from governance meetings and follow up with responsible officers, on behalf of Programme Leads, to obtain progress updates.
Maintain accurate records of decisions, approvals and key discussions in line with agreed governance processes.
Ensure programme documentation is appropriately stored, version controlled and accessible.
Organise, co-ordinate and manage a range of events associated with the implementation of Equip
Risk & Action Monitoring
Assist with maintaining Programme Risk registers under the direction of the Programme Leads.
Track actions relating to risks and issue updates from risk owners in a timely manner.
Highlight overdue actions or missing updates to Programme Leads to support timely progression.
Assist in preparing summary information for governance reporting forums and ensure that relevant documentation is circulated and retained appropriately.
Reporting and Programme Tracking
Assist in the preparation of highlight reports, dashboards and status updates by gathering information from relevant sources and presenting it in a clear and structured format.
Collate updates from HR, Finance, ICT and Operational leads to support programme reporting requirements
Maintain programme trackers and monitoring tools and highlight potential delays or gaps in updates to Programme Leads.
Support the collation of readiness, training and implementation information as required.
Undertake specific pieces of work as requested by Programme Leads to support programme coordination and planning.
Stakeholder Liaison & Communication Support
Act as a central contact point for programme-related queries.
Follow up with managers, Assistant Directors and other stakeholders, on behalf of the Programme Leads, to obtain information or feedback to support programme activity.
Provide updates and relevant information to key stakeholders to support programme governance processes.
Support the organisation of workshops, engagement sessions and training events linked to the Equip programme..
Build positive working relationships with colleagues across the organisation to support programme coordination.
Provide information and reassurance to staff where appropriate regarding programme activities and changes associated with Equip.
Administrative & Systems Responsibilities
Produce high quality documentation and reports using MS Office including Word, Excel, Outlook, Teams and PowerPoint..
Maintain SharePoint, Teams or other Digital repositories used for programme documentation.
Ensure compliance with Trust records management, Freedom of Information and Data Protection requirements.
Organise and prioritise workload effectively to support programme governance and reporting processes.
Maintain accurate programme records and documentation.
Financial & Resource Responsibilities
Support documentation and tracking processes associated with programme governance and approval stages.
Assist with maintaining accurate records to support oversight of programme activity.
Support the effective use of programme resources, including maintaining appropriate stock levels of stationary where required.
